Our office hours are as follows:
Normal Operating Hours - 8AM MST to 8PM MST M-Sat, Sun 8AM MST - 6PM MST.
Winter Hours – Closed from November – April.

You must be 18 years or older to rent any of our cabin home vacation rentals. The registered guest must meet the minimum age requirements and be occupying the rental. No un-chaperoned groups. Upon check-in, we reserve the right to refuse service with monies forfeited if any discrepancies in our policies are suspected.
Over occupancy is considered a serious violation of your rental agreement and you will be asked to vacate the property immediately. Children are counted in total occupancy unless they are under the age of two. We do charge a USD $30 additional per person/per day rate.
All guests understand that they are solely responsible for any property damage, accident, death, injury to any person(s), or loss sustained by any person, including the loss of money, jewelry and other items of personal property, arising out of or in any way related to a guest's use of the premises. Furthermore, the registered guest shall be liable for all accident claims or personal injury claims by any member of the vacationing party or guests thereof.
All guests shall inspect and be familiar with the proper use and application of all items in the vacation rental prior to using them. The guest(s) agree to indemnify and hold 9/W CABINS and/or the owner(s) harmless from any and all claims, including those of third parties, arising out of or in any way related to a guest's use of the premises or the items of personal property provided therein. All guests assume the risk of injury, death, or other losses related to any recreational activities or use of the premises and will hold the owner and its agents harmless with respect thereto.
A 50% deposit is required (on two days, and thereafter reservations) to reserve your cabin home vacation rental, for reservations arriving outside of 30 days. We accept Visa, MasterCard, and Discover. The final balance is due 14 days prior to the scheduled arrival date. The final balance will be automatically charged to the Credit Card on file if no other payment arrangements have been made. If full payment is not made, the reservation will be cancelled, and no monies will be refunded. Rates are subject to local and state sales tax. Should you cancel your reservation at anytime after the booking, for any reason, this deposit will not be refunded back to you. ALL 1-night reservations will require total payment upon booking. This will include all local and state taxes.
Due to the change in operations, we no longer offer 1-Night Stays. If a 1-Night Rental becomes available, the reserved guest are required to Pay in Full, and No Refund will be Given for ANY Cancellations.
- All 2-Night Reservations are Not Allowed to Reduce to 1-Night Reservation. This will be considered an Early Departure and therefore, NO Refund will be Given.
Once your reservation is confirmed, there shall be no cancellations, refunds or changes made to the reservation. The Guest will be Charged with a Non-Refundable Prepayment of the Total Price of the Reservation. The Guest will be Charged with the Total Price of the Reservation if they Cancel Anytime. We reserve the right to change the rental assignments without prior notice or liability in the event of a sale of the rental cabin home, mechanical failure or other necessary reasons. You may upgrade to a larger unit, subject to availability, any time prior to check-in. There will be a $50 fee for all changes made to your reservation plus any expenses associated with doing so. No credit will be issued for unused portions of time in case of late arrival or early departure. No shows will forfeit all monies paid.
No refunds will be made for acts of nature, loss of electrical power, water, air conditioning, or cable outages. Descriptions, bed sizes, amenities and are subject to change without notice. In the event of a mechanical failure, we will make every effort to have all reported malfunctions corrected as promptly as possible.
Upon check-in, photo identification and credit card are required.

Check-out Time: 10:00 AM MST
Guests who plan to arrive after 8:00 PM (MST) local time are kindly requested to inform the 9 Bar W Cabins property by calling (406) 640-0649. If you will be arriving after hours, we do have a procedure that will allow you to check-in after hours. You will need to call the office at (406) 640-0649 and advise them with the details. No 3rd Party check-in or reservations permitted. All special requests are subject to availability upon check-in. Special requests cannot be guaranteed and may be subject to additional charges.
If you shorten your stay within 30 days of your original check in date you will be responsible for all the originally reserved nights. This includes shortening your stay at check in or after. If you shorten your stay more than 14 days prior to the original arrival date, you will be responsible for a 50% cancellation fee per night, equal to one night’s charges plus tax, if applicable. There is no refund for early departures.
All charges must be paid in full before access is given to the cabin. Guests hereby authorize the Agent to charge any expenses related to the repairs or cleaning of the unit beyond normal wear and tear or related to any theft or vandalism of any property from the unit to the guest's credit card on file. Property will be replaced at current retail value plus a USD $50 service fee. An inventory of the cabin is taken prior to check-in and after check-out. Upon arrival, we ask that you inspect the rental property and report any problems within 2 hours. If items are not reported within the allotted time, your credit card will be charged for any damages that are found at check- out inspection. Many of you will vacation with other couples, family members, or friends, but only one person signs the rental agreement. That person, the registered guest, is responsible for all facets of the rental agreement as outlined herein.
9 Bar W Cabins does NOT have a 24 hour office. Office hours vary depending on season. Management, however, does reside close-by the property and is available in the event of an emergency after hours. All guests are provided emergency contact information upon check-in.
The 9 Bar W Cabins takes every precaution to protect our guest’s information. When guests submit sensitive information via the 9 Bar W Cabins website, the information is protected both on-line and off-line. When our registration/order form asks a guest to enter sensitive information, such as a credit card number, that information is encrypted and is protected with the best encryption software in the industry - SSL. Our servers encrypt all of your personal information including credit card number, name, and address so it cannot be read as the information travels over the Internet.
While we use SSL encryption to protect sensitive information on-line, we also do everything in our power to protect our guest's information off-line. All of our guest's information, not just the sensitive information mentioned above, is restricted in our offices. Only employees who need the information to perform a specific job (for example, our billing clerk or a reservation specialist) are granted access to personally identifiable information. ALL employees are kept up-to-date on our security and privacy practices. Every quarter, as well as anytime we add new policies, our employees are notified and/or reminded about the importance we place on privacy, and what they can do to ensure our guest's information is protected. Reserving a room at 9 Bar W Cabins is absolutely safe. We guarantee, with each purchase you make, any personal information you provide is secure. Under the Fair Credit Billing Act, your bank cannot hold you liable for more than $50 of fraudulent charges. In the unlikely event you are subject to fraudulent charges, as a result of making a reservation through our website, we will cover your liability up to $50. This applies ONLY if the unauthorized use of your credit card resulted through no fault of your own while using 9 Bar W Cabins secure servers, AND providing you notified your credit card provider in accordance with its reporting rules and procedures.
